How to transcribe a Zoom meeting on a Mac

Zoom's cloud transcript, a computer recording, and a local meeting recorder solve different parts of the job. Choose the record you need before the call.

Choose the route before the meeting

The word transcript can mean live captions, a saved text file, or a searchable record attached to a video. Decide which you need. Zoom's Meeting transcripts feature can save text during the call. Cloud audio transcription produces a file tied to a cloud recording. A computer recording gives you local audio and video, but not Zoom's cloud audio transcript.

A Mac meeting recorder is a third route. It can capture the call from your computer and transcribe locally without a meeting bot joining. This is useful when you want a personal record on your Mac, but it does not replace Zoom's shared cloud recording or your team's retention process.

Save a Zoom Meeting transcript during the call

Zoom's Meeting transcripts feature is distinct from the transcript generated after a cloud recording. The host must have the feature enabled and can start it from More → Transcript. A participant can request that the host start transcription. With the Transcript panel open, Save transcript writes a TXT file to the computer. Zoom lists Documents/Zoom as the Mac save folder.

Check that your account and meeting allow the feature before you rely on it. Save the file during the meeting and confirm it appears in Finder. A text file alone is harder to verify later than a transcript paired with a recording, so decide whether you also need to preserve audio.

Get a transcript from Zoom cloud recording

Zoom says its cloud audio transcription requires an eligible Pro, Business, Education, or Enterprise account with cloud recording enabled. An account administrator may control the setting. Zoom's current usage guide lists multiple supported languages; check the language chosen for the recording before reviewing the result.

  1. Before the meeting, check Zoom's Recording & Transcript settings in the web portal. Enable Cloud recording and Create audio transcript, or ask your admin if the controls are locked.
  2. Tell participants that you will record, and follow the consent requirements that apply to your meeting. Start a cloud recording as the host or with the required permission.
  3. After Zoom processes the recording, open the recording in Zoom. Its audio transcript appears as a separate VTT file with timestamps.
  4. Review names, numbers, decisions, and speaker attributions against the recording before sharing notes. Zoom lets you edit the transcript text.

Do not assume that live captions have created a saved transcript. Check the recording and transcript after the call, while there is still time to repair a missing record.

If you record to your Mac instead

Zoom's computer recording is available to free and paid accounts. The host records, or grants a participant recording permission. After the call, Zoom converts the file and places it in its local recording folder. According to Zoom, its audio transcription feature does not apply to computer recordings. A saved audio file and a saved transcript are separate outcomes.

If you use a separate local transcription app, run a short test in the real Zoom setup. Check that it hears your microphone and remote speakers, that the recording survives a normal end to the call, and that you can find the original audio afterward. Headphones, device changes, and system-audio permissions can affect capture.

Turn the transcript into reliable notes

Search the transcript for decisions, owners, and dates. Replay the source for ambiguous phrases rather than guessing from a fluent sentence. A speaker label is a review aid, not proof of identity. Send a short follow-up that states decisions and next actions, and keep the recording for any item that needs checking.

Choose a Zoom Meeting transcript when a saved text file is enough. Choose cloud transcription when your team needs a shared Zoom recording and permits that storage. Choose a local Mac workflow when the priority is a personal audio-and-text record under your control. For a broader capture checklist, see our guide to meeting notes without a bot.

Questions people ask

Does Zoom transcribe a computer recording?
Zoom says its audio transcription applies to cloud recordings, not computer recordings. A computer recording gives you a local media file; use another transcription tool if you need text from that file.
Can I transcribe a Zoom meeting without a bot?
Yes. Zoom cloud recording does not require a separate meeting bot, and a Mac recorder can capture the meeting locally. Either way, tell participants when you record and check the result.
Is a Zoom transcript the same as live captions?
No. Live captions help during the call. Zoom's Meeting transcripts feature can save a TXT file during it, while cloud audio transcription produces a processed transcript tied to a cloud recording. Verify which feature is enabled.
